At VFlow, we take your privacy seriously. This Privacy Policy explains what personal data we collect, how we use it, and how we protect it. By using VFlow, you agree to this policy.
1. Information We Collect
We collect information you provide and data generated by your use of VFlow, including:
- Personal Information – Your name, email, and contact details when you sign up or schedule meetings.
- Google Calendar Data – Access to your Google Calendar is strictly for scheduling meetings. We do not read, share, or store calendar contents beyond what is required for meeting management.
- Usage Data – Information about your interactions with VFlow, including IP address, device type, browser, pages visited, and timestamps.
- Cookies and Tracking – We may use cookies to improve site functionality, user experience, and analytics.
- Zoom Data – When you connect your Zoom account, we collect your Zoom User ID and email address. We also access meeting metadata (such as meeting IDs and join links) specifically for meetings created through VFlow. We do not record or access the audio/video content of your Zoom meetings.
2. How We Use Your Information
Your data is used only for these purposes:
- Meeting Scheduling – To book, manage, and confirm meetings via Google Calendar.
- Service Improvement – To enhance features, fix bugs, and analyze usage patterns.
- Team Quota Monitoring & Activity – For Scale Plan members, your real-time balance and basic consumption activity (leads unlocked, search usage) are shadowed to the Team Moderator/Owner dashboard. This ensures transparent resource allocation and allows the Moderator to manage the team's shared monthly quotas effectively.
- Security and Legal Compliance – To prevent unauthorized access, fraud, or illegal activity.
- Optional Communication – With your consent, we may send updates or marketing emails, which you can unsubscribe from at any time.
- Zoom Integration – To automatically generate unique Zoom meeting links for your prospects once they book an appointment through our platform.
- Data Storage & Processing (Outreach) – Outreach videos generated for sales or recruiting purposes are stored securely in our integrated Google Drive infrastructure. We process these files server-side to extract high-performance thumbnails and optimize resolution (up to 720p) to ensure long-term accessibility and platform stability.
Data Collection for Fraud Prevention and System Integrity
In addition to the core services, we process certain data strictly for security purposes:
- Payment Data and Verification: To maintain the security of our platform, users registering for a Free Trial—particularly those joining via our Referral Program—must provide valid payment information. We utilize a $0.00 authorization (SetupIntent) to verify identity and prevent automated abuse.
- Third-Party Processing and Fingerprinting: We do not store full credit card numbers on our servers. All payment data is handled securely by Stripe. As part of our anti-fraud measures, Stripe generates a unique cryptographic fingerprint associated with your payment method. VFlow securely stores and monitors these fingerprints exclusively to detect duplicate accounts, prevent "credit mining" (Sybil attacks), and enforce our single-use trial policies.
- Email Domain Verification: During registration, your email address domain is cross-referenced against an internal, dynamically updated database of known disposable or temporary email providers (VFlowBlacklistedDomain). This processing is strictly for security purposes and to ensure the legitimate administration of our referral rewards.
- Security-Driven Link Rotation: To further prevent viral abuse and link farming, our Referral Program utilizes ephemeral links that automatically expire and rotate every 24 hours (UTC). Additionally, links are programmed to auto-destruct and be invalidated immediately upon reaching a maximum of three successful rewards in a single day. This rotation logic is strictly for platform security and integrity monitoring.
- Use of Data: Data collected through fingerprinting, link rotation, and domain verification is used solely for security, account deduplication, and fraud prevention. We reserve the right to withhold promotional rewards or suspend accounts if our automated systems detect patterns of abuse.
3. Data Sharing and Disclosure
We do not sell, rent, or trade your data. Data may only be shared in the following cases:
- Service Providers – Third-party partners that support VFlow operations (e.g., hosting or analytics) under strict confidentiality agreements. This includes data enrichment providers (like SignalHire) used exclusively for fetching professional contact data on-demand.
- Team Moderators (Scale) – If you are a member of a Scale Team, the Moderator/Owner of your team has access to your usage metrics (credits spent, leads unlocked) specifically to manage the shared balance and subscription tier.
- Legal Obligations & System Integrity – If required by law, regulation, or court order, or if we detect use of the System for illegal activities, we will disclose necessary user data and activity logs to law enforcement or regulatory authorities.
- Business Transactions – In case of a merger, acquisition, or sale of assets, with continued privacy protections.
4. Data Security
We maintain industry-standard security measures to protect your data:
- Encryption during transmission.
- Access control and secure storage.
- Regular security monitoring, including real-time session monitoring and interlock alerts to protect your active third-party integrations (Google/Zoom).
No system is fully secure; while we strive to protect your information, we cannot guarantee absolute security.
5. Your Rights
Depending on your location, you may have rights to:
- Access or correct your personal data.
- Request deletion or restrict processing.
- Withdraw consent at any time.

6. Third-Party Services
VFlow uses Google Calendar to manage meetings. Access is strictly limited to scheduling purposes. We never share calendar contents with third parties. Review Google’s privacy policies here: Google Privacy Policy.
VFlow’s use and transfer to any other app of information received from Google APIs will adhere to Google API Services User Data Policy, including the Limited Use requirements.
Zoom: VFlow uses the Zoom API to facilitate automated meeting creation. All Zoom data is handled via secure OAuth tokens and is used strictly for meeting management. You can find Zoom’s privacy policy here: Zoom Privacy Policy.
SignalHire (Recruiting): We utilize the SignalHire API for recruiting contact enrichment. We send professional URL identifiers (like LinkedIn profiles) on an ad-hoc basis when an unlock is explicitly requested to fetch public business contact data. VFlow respects SignalHire's usage limitations and rate controls.
7. Children’s Privacy
VFlow is not directed at children under 13, and we do not knowingly collect data from children under 13. If discovered, such data will be deleted immediately.
8. Changes to This Policy
We may update this Privacy Policy periodically. Updates will be posted with a revised “Effective Date.” Continued use of VFlow constitutes acceptance of changes.
